Using the Scanner in the Computer Lab
The Canon iRC3080i photocopier in the Computer Lab can also be used as a colour printer and scanner. The copier function can e-mail scanned multi-page PDF files to you instead of printing hard copies. To specify your e-mail address select the "Send" menu at the top of the touch-screen console, which comes after "Copy" and "Express Copy" going from left to right. You might have to wake up the device from sleep mode first by pressing the circular, grey power button in the top right. Once in the Send menu, press the button marked e-mail on the touch-screen console to bring up a keyboard which you can use to enter your e-mail address. If you are likely to need the scanner frequently you might wish to put your e-mail address in the Address Book first, buy selecting the "Register" tab in the bottom right. Once you have specified a destination address or addresses, either by typing one in or selecting one from the Address Book, press the green, circular Copy button to start scanning. Just as you can with copying, you can scan documents using the feeder or do pages one by one by placing them on the glass under the lid. When all the pages have been scanned press "Done" on the touch-screen console to send the scanned pages as an e-mail attachment.
If you need more control over scanner settings you can also control the scanner in a more conventional way using a computer. The following instructions refer to the computer next to the scanner/copier, but any Windows computer at ESSC can be used if the Canon
ScanGear software is installed. Installers for the latest version of this software can be downloaded from the
Canon web site, for
32-bit and
64-bit Windows, and the current version at the time of writing can also be found on the ESSC storage cluster at /glusterfs/marine/users/dab/ESSC_IT/Windows/Canon.
Follow the following steps to scan a document and save it to your ESSC home directory.
- Log in to the computer using your University username and password. Before entering your username make sure the RDG-HOME domain is specified, rather than "Local machine".
- Launch the "ScanGear Tool" from the "Color Network ScanGear " folder in the Start Menu. Make sure you are not using the version in the "Network ScanGear " folder, which doesn't work.
- Click the "Discover" button and wait until the scanner is detected at address 192.171.166.22. Alternatively, click on "IP Address" and enter the address manually. Test the connection to the scanner by clicking the "Test Connection" button, and then close the ScanGear Tool using the "Exit" button.
- At the top of the photocopier console are four menus: "Copy", "Express Copy", "Send" and "Mailbox". Press the right arrow on the touch sensitive screen in the top right to reveal the "Scan" menu page. Press the button on the screen marked "Online".
- Start the Microsoft Clip Organizer in Windows, which can be found in the Start Menu by navigating to "Microsoft Office" and then to "Microsoft Office 2010 Tools".
- From the "File" menu in the Clip Organizer, select "Add Clips to Organizer" and then "From Scanner or Camera". Choose the scanning resolution and then click either "Insert", to scan immediately using default or previously used settings, or "Custom Insert" if you want more control over the scanning process.
- The "Custom Insert" button opens the "Colour Network ScanGear " scanning application. There are several different parameters that can be changed, including "Original Placement", which controls whether the original items to be scanned are to be placed in the document feeder or directly onto the glass.
- To scan an individual item placed on the glass, lift up the photocopier lid, position your item on the glass, select "Platen" from the pull-down "Original Placement" list in ScanGear and then press the "Preview" button. Select the region you want to scan using the mouse, then press "Scan" to scan and save an image in JPEG format.
- If the scan job appears to hang on "Transferring Page: ... 100%" just click "Cancel" to complete the job.
- When you have finished scanning, press the "Offline" button on the photocopier console screen to go back on line.
- To find your image in the Microsoft Clip Organizer, pull down the list under "My Collections" and select "Colour Network ScanGear ". Hover the mouse over the image thumbnail and press the down arrow to reveal a menu that includes "Copy", to enable the image to be copied to another location, and "Preview/Properties", which gives details of the image including the file name and path.
- To copy the image to your ESSC home directory you must first map the directory as a network drive in Windows. To do this, start Windows Explorer by selecting "My Computer" from the Start Menu. From the "Tools" menu select "Map Network Drive", and enter "\\odin\homes" in the box marked "Folder". Click the link marked "Connect using a different username", then enter your ESSC username and password. Your home directory will then appear as an additional Windows disk drive. It is safe to allow Windows to store your username and password, because nobody else can access the mapped network drive unless they know your University username and password.
- You can insert scanned images into Microsoft Office documents by selecting "Picture" from the "Insert" menu, and then double clicking on "Microsoft Clip Organizer" to see your collection of images.
- Do not keep scanned images or documents on the computer next to the photocopier, because its hard disk is not backed up. Always copy scanned images to your ESSC home directory if you want to keep them, and please deleted unwanted files from the hard disk to avoid it filling up.
